Expense reports without the typing

Typing receipts into a spreadsheet is the slow part of any expense claim. This scanner reads the receipt for you and fills in the fields you actually need: who you paid, when, what you bought, the tax and the total.

It isn't plain text OCR. A basic OCR tool gives you a block of text that you still have to sort out. This one understands the layout of a receipt, so the total lands in the Total column, tax lines like CGST and SGST are added together, and the change-due line isn't counted as an item.

What gets extracted

Each receipt gives you two sheets. Columns that are empty on every receipt are left out.

How to scan receipts to Excel

  1. Take a photo

    Lay the receipt flat on a dark surface, in good light, and photograph it from directly above. Screenshots of e-receipts and PDF receipts work too.

  2. Upload the receipts

    Add up to 10 at once. iPhone HEIC photos are supported, so there’s no need to convert them first.

  3. Check the totals

    The tool checks that the items add up to the subtotal, and that subtotal plus tax and tip equals the total. If something doesn’t match, you’ll see a note.

  4. Download

    Use "All as Excel" for one workbook covering every receipt, or download each receipt on its own.

Getting good scans

  • Photograph thermal receipts soon. They fade within months, and faded print is the most common reason for missing values.
  • Flatten crumpled receipts and keep the whole receipt in the frame, including the total at the bottom.
  • For long receipts, take the photo from a little further away rather than cutting the bottom off.
  • A dark background helps the receipt edges stand out.
  • Watch the dates. On receipts like 03/04/2026, the country and currency are used to decide the day and month. Check any that look odd.

Good to know

  • Only the last four digits of a card number are kept. Full card numbers are never extracted.
  • The spending category is a suggestion based on the merchant and items. Change it if your company uses different categories.
  • Handwritten receipts and very faded thermal paper may need manual fixes.

Yes. It reads receipts in many languages, and records the currency code (such as INR, EUR or USD) separately from the amounts so the numbers stay usable.

Is this different from receipt OCR?

Plain receipt OCR gives you raw text. This tool also understands the structure, so the total, tax and items each go into the right column without any cleanup.
