Statements in a spreadsheet, with the balance checked

Many banks only give you a PDF statement, and copying it into Excel rarely works. Columns run together, descriptions split over two lines, and the debit and credit columns get mixed up.

This converter reads each transaction and puts it into fixed columns: date, description, reference, money out, money in and balance. Debits and credits always go in separate columns as positive numbers, which makes totals and pivot tables easy.

Then it checks the result. It adds up money in and money out and compares the closing balance with the one on the statement. It also checks the running balance row by row. If anything is off, for example a missed transaction on another page, you'll see a note before you download.

How to convert a bank statement to Excel

  1. Download the statement from your bank

    A PDF from online banking is best. Scans and phone photos of paper statements also work.

  2. Upload it

    Add up to 10 statements at once, for example a full quarter or year, month by month.

  3. Check the balance note

    If the closing balance matches, the transactions are complete. If not, the note tells you what didn’t add up.

  4. Download as Excel or CSV

    Use CSV to import into budgeting or accounting software, or Excel to sort and filter yourself.

Tips for complete results

  • Use the PDF straight from your bank’s website rather than a printed and rescanned copy.
  • If the statement is password-protected, open it and save an unlocked copy first. Many banks protect statements with your date of birth or customer ID.
  • Statements up to about 15 to 20 pages convert reliably. For longer ones, split them by month with Split PDF.
  • If the balance check fails, compare the number of transactions with the statement. A missing page is the usual cause.
  • Credit card statements work too. Purchases and fees are treated as money out, and payments and refunds as money in.

Privacy and limits

  • Your account number is shortened to its last four digits in the spreadsheet.
  • Statements that list newest transactions first are fine, but the running-balance check may flag rows. The closing balance check still applies.
  • Summary boxes, page totals and "balance brought forward" lines are not counted as transactions.

Can I combine statements from several months?

Yes. Upload them together, convert, then choose "All as Excel" or "All as CSV". Every transaction is in one list with a column showing which statement it came from.
